Information held about you

The legal basis for processing your data is to enable the Safeguarding Business Unit on behalf of Herefordshire Safeguarding Children Board, Herefordshire Safeguarding Adults Board and Herefordshire Community Safety Partnership to fulfil their obligations to provide you with multiagency safeguarding training services and information, and to improve its process for doing so.

In order to provide these training services to you, it is necessary for us to collect and hold personal information about you. This information will include:-

  • Basic details about you such as your name, work address, telephone number, email address and how we can communicate with you.
  • Your job title and the organisation you work for.
  • Your training records relevant to safeguarding

Who is processing my data?

All personal data held, is processed in accordance with data protection law. The Data Controller for the information outlined in this privacy notice is the HSCB/ HSAB/ HCSP Business Unit (*hosted by Herefordshire Council).

How will we use the Information we hold about you?

We will collect information about you (where applicable) to:-

  • To enable you to book safeguarding training courses and provision.
  • To produce accurate training records for you and provide training certification.
  • To inform you about training opportunities available through CPD online so you can fulfil your contractual requirement to complete training.

What is the legal basis for us to process your data?

The legal basis for processing the data is:

  • carrying out of a contract to which you are a party
  • our obligation to provide multiagency safeguarding training.

Who we will share your information with

We may share your information with partner organisations, including:-

  • Your employer or organisation you are volunteering for (if applicable)

Subject to strict agreements describing how it will be used, your information may also be shared with:

  • Regulatory Bodies
  • Criminal Justice Services

We will not normally share your information with organisations other than our partner organisations without your consent, however, there may be certain circumstances where we would share without consent such as where we are required to do so by law, to safeguard public safety, and in risk of harm or emergency situations. Any information which is shared will only be shared on a need to know basis, with appropriate individuals. Only the minimum information for the purpose will be shared.

How long do we keep your records?

We will only keep your information for the minimum period necessary. The information outlined in this privacy notice will be kept until change of contract with the data processor or until the end of your employment or volunteering contract. All information will be held securely and destroyed under confidential conditions.

Providing accurate information:

It is important that we hold accurate and up to date information about you in order to assess your needs and delivery the appropriate services. If any of your details have changed, or change in the future, please ensure that you inform us as soon as possible so that we can update your records.

Protecting your data:

Under the Data Protection Act we have a legal duty to protect any information we collect from you. We do this by:

Keeping strict security standards to prevent unauthorised access to your data

Not passing on your details to any third party or government department unless you give us permission to do so or where allowed by law

Your rights
